Manager Self-Service Implementation
Effective October 1, 2013, Manager Self-Service (MSS) became available in the PeopleSoft HRMS module. MSS is a module in PeopleSoft HRMS for electronic Work Flow of employee information. Work Flow uses an electronic method (rather than routing paper) to submit employee transactions through approving authorities to Human Resources and Payroll Services. Workflow will streamline the way employee information is managed in HRMS by ensuring accurate data, initiating and tracking approvals, and limiting mistakes that can be made with manual data entry.
MSS is being implemented by process (terminations, hires, Job Changes, etc.) and by division at UND. The first Work Flow process to be implemented in MSS is the online termination process of benefitted, temporary and student employees. Work Flow uses pre-approved workflow paths. Transactions automatically route through an approval process after being submitted in PeopleSoft by the employee's supervisor (or their designee).
Since each department/division may currently handle their employee transactions slightly different, the roll-out of MSS, during the coming month, will be on a division-by-division basis. The Human Resources and Payroll Services Office will be in contact with each division to discuss how MSS works, discuss any process changes that may be necessary and provide training.
Initially, lists of employees and their supervisors, as shown in PeopleSoft HRMS, are being distributed to divisions/departments for verification and cleanup. The majority of the cleanup will be with the pool positions. We understand that employees within a pool position may actually report to various supervisors, but for the work flow process you are limited to one supervisor per pool position. This supervisor should be the individual that would be responsible to approve the termination in the work flow process.
Although all supervisors currently have access to MSS on their Peoplesoft HRMS home screen, we request that they do NOT submit any transactions via MSS, until their department has been contacted by our office, received the necessary training and approved to do so. It is anticipated that all UND divisions will be using MSS for terminations no later than November 30, 2013.
