Loading Dock Facility Use Agreement
These guidelines have been reviewed January 24, 2011 and supplement the Code of Student Life, Section 5: Use of University Facilities.
Groups wishing to use the Loading Dock should contact the Memorial Union Administrative offices at 701.777.3926.
A Loading Dock Facility Use Agreement will need to be completed. Policies for using the Loading Dock are as follows:
Recorded Music
Groups wishing to play pre-recorded music for their event need to contact the Memorial Union Administrative office prior to their event, to discuss music copyright and licensing policies. This refers to the use of CDs, music downloaded from the Internet (iTunes), music on iPods, etc.
Who Can Reserve?
UND departments, UND-related foundations, recognized student organizations, governing councils, Student Government, and Association of Residence Halls.
Setup Arrangements
Facility setup arrangements and requests for equipment must be made at least one week prior to the event.
Food Service
Groups should use Campus Catering services whenever possible. Any food brought into the Loading Dock must be purchased through a state licensed food vendor. Memorial Union Food Policies are located at Facility Use Policy.
Smoking Policy
The Memorial Union and the Loading Dock are smoke free facilities and everyone must comply.
Facility Usage Policies
The User will comply with UND and Memorial Union facility use policies located at Facility Use Policy.
Damages/Cleaning
The User will pay for any damages that are incurred during their event. In some cases a cleaning fee may be assessed. Any Loading Dock equipment that is damaged or stolen during an event may be charged back to the organization or department.
Alcohol Free
All events scheduled in the Memorial Union are alcohol free. Anyone who displays inappropriate behavior and are suspected to be under the influence of alcohol or drugs will either be asked to leave the premises or be turned over to appropriate authorities.
Security
The User is responsible to pay for any security staff that may be required for the event. This decision to obtain security will be made by the Memorial Union staff at the time the event is booked. UND and the Memorial Union are not responsible for theft or damage to Users items that are left unattended or incurred during the event (includes items left in vehicles).
Loading Dock Equipment
Only the Memorial Union staff may operate Loading Dock sound or light equipment, and any other Memorial Union equipment.
Noise Levels
The Memorial Union staff reserves the right to control the noise level so it doesn’t interfere with other services, students, or events in the building.
Signs & Posters
The User will not fasten, secure or tape any materials on any doors, columns, walls or windows when advertising your event. Easels or stands will be provided for this purpose. For more information, go to Memorial Union Posting Policy.
Safety
Capacity for the Loading Dock is 242; the Memorial Union staff reserves the right to control or limit attendance when it goes beyond this point. Pyrotechnics are not allowed in the Loading Dock or the Memorial Union.
Termination
The Memorial Union staff may terminate any event in progress if conditions in this agreement are violated or if they feel safety or security is in question.
Cancellations
Cancellations must be made at least two (2) days in advance.
