Assets
Assets are a great way to manage content that is repeated throughout the website or changes often.
Assets created by a group can only be edited by that same group, but can be used by everyone. The benefit of that is if you use an asset created by another group, you do not have to worry about updating that content. When the creator updates the asset, it will automatically update your page.
A good example of using an asset is the cost of tuition. Student Account Services (SAS) is officially responsible for posting tuition costs. If SAS created an asset for tuition, any group on campus could post it. When tuition is updated by SAS, it automatically updates anywhere that asset was used.
Using assets
- Navigate to the page you want the asset on.
- Click "Edit" until you are in the WYSIWYG editor.
- Place your cursor where you want the asset to be located and select the "Insert/Edit Asset" icon in the toolbar. (It is the last icon on the right in the second row.)
- Click in the Asset Brower and choose the location of the asset and click Enter on your keyboard. All assets will be within UND except those within a specific college, school, or department.
- Select the asset you want. Some assets can be previewed by clicking once on the asset.
- Click "Select Asset."
- On your page, you will see grayed out text with diagonal lines through it. Once you save and preview the page, you will see the asset content just as if it were regular text. The reader will not see any difference.
Creating assets
When creating assets, consider whether or not other groups will use the asset. If they will, talk to them about the best way to make the asset so it works for multiple groups. You also need to be sure to only create assets for content that your area owns. If you want an asset created with content you do not own, please ask that unit.
- Select the "Content" tab at the top of your OU page and then click "Assets" in the black header. (If you are in a College/School, your asset list will be empty. If you are anywhere else, you will see the main UND asset list.)
- Click "+new" on the top right of the page. You will see three options:
- Web Content can be formatted with links, bullets, headers, etc. This is the most common type of asset.
- Plain Text is text that cannot be formatted. This may be useful in the case of just a name or a number by itself.
- Source Code allows you to make lines of code into an asset. The code can be formatted and include links.
- Once you choose the type of asset you want, you need to complete the TCF file, similar to when you create new pages.
- Asset Name: Your asset name is very important because this is how you will find your asset later to use it. It is important that you add a short naming convention to the beginning of your assets to identify your unit as its owner. For example, all Financial Aid assets start with FINAID. All Enrollment Services assets start with enrollment.
- Description: Provide a short description of what your asset is.
- Tags: Assets will be searchable by tags. Adding tags now will help you find your assets once this feature is enabled.
- Asset Content: Enter your asset content into the designated area. This the content the user will see.
- Content editable by: By default, this is set to "Everyone." Be sure to change this to reflect your unit. You can set it for your broader unit or provide a more specific area. For example, arts-sciences vs arts-sciences/chemistry.
- Click "Save."
- Click "Publish." This allows you and others to use your asset and have it show up on your web pages. Remember to republish anytime you make changes, so those changes update on all pages using that asset.
