Data Entry Guide
This guide explains how to enter and maintain activity records in the UND LEADS Activity
Inventory list. It is designed for campus users who submit or update/edit activities
for reporting and dashboard use.
If you have questions about something you are considering submitting, or simply want

Using the UND LEADS Activity Inventory
Most users will interact with the UND LEADS Activity Inventory in one of two ways: adding new items or editing existing records. Each task has a distinct process, described below.
- Open the UND LEADS Inventory SharePoint list by clicking the Submit/Update Your UND LEADS Initiative.
- Select “Add new item” to open the data-entry form.
- Complete all required fields, including:
- Title
- Originating Office
- Contact
- Date Added to Inventory
- Keyword(s)
- Core Value Alignment and Related Strategic Priority(ies)
- Enter Stage of Development (Envisioning, Initiating, Established, Mature)
- Review information and click Save
When an activity changes or needs updates (e.g., new contact, revised status, updated priorities):
- Open the UND LEADS Inventory SharePoint
- Locate the activity record you want to edit
- Click the three dots (...) next to the record and choose Edit
- Update relevant fields as needed
- Click Save to apply changes or Cancel to discard them
If you feel a record should be deleted (for example, the activity is no longer actively being pursued), please send an email to und.leads@UND.edu, noting the title of the item and specifying that you’d like for it to be removed from the Activity Inventory.
Data-Entry Standards
- Use official unit names to support consistent reporting.
- Check for accuracy before saving, especially dates, status selections, and Strategic Priorities.
- Select only options that meaningfully apply to your activity; avoid over-selection. In fact, please limit the number of keywords to 6 and the number of Strategic Priorities to 3.
Accessing the List and Starting a New Entry
- Open the UND LEADS Inventory SharePoint
- Click the Submit/Update Your UND Leads Initiative link to open the list.
- Select Add New Item
- Confirm the data-entry form opens.
- A data-entry form will open where you can enter the activity details and save your submission
- Follow New Entry Instructions below.
- Click Save
New Entry Instructions
| LEADS Activity Features | What to Enter |

| Title | Enter a clear, descriptive activity name that a campus-wide audience can understand. Avoid internal acronyms unless they are widely recognized |
| Originating Office |
Select the office/unit primarily responsible for the activity. If the activity is cross-unit, choose the primary originating office. |
| Contact |
Enter the name of the primary contact person who can answer questions about the activity (Format: First Last). |
| Date Added to Inventory |
This field uses a date/time picker. Select the date the activity record is added to the inventory using the calendar control (MM/DD/YYYY). This should be the current date of entry. |
| Keyword |
Select up to six keywords that best describe the activity. You may choose one, two, or more keywords, but do not select more than six in total. |
| Strategic Priorities |
Select 'Yes' or 'No' for each of the strategic priorities (Learning, Equity, Affinity, Discovery, Service) If marked Yes, select the relevant priorities from the dropdown menu. |
| Operational Excellence |
Activity alignment for Operational Excellence (Yes/No). This should only be chosen if the activity does not align with any Core Values or Strategic Priorities. |
| Stage of Development Dates |
The UND LEADS Activity Inventory tracks the activity stage of development using four stage date fields. Enter dates only for stages your activity has reached at or after the creation of the Activity Inventory entry; leave other stages blank, including those reached at points in time prior to the date the item is added to the inventory. In many cases, there will not be an exact date for a change in the stage of development. As the most knowledgeable person about the activity, simply use your judgment to enter a date that reasonably captures when the activity’s stage of development changed. |

Use this appendix if you need help selecting the most appropriate strategic priority under a core value. Select only priorities that clearly represent the activity.

Common Issues and Troubleshooting
I selected Yes for a core value but cannot select a strategic priority.
Confirm that you are using the correct strategic priority field under that core value. If the dropdown is not available, refresh the page or try a different browser.
The strategic priority field only lets me choose one option.
This is expected. Strategic Priority fields are single-select. Choose the one priority that best represents your activity under that core value. If more than one seems applicable, select the strongest match and use Keywords to capture additional emphasis.
My keywords exceed the limit.
Reduce selections to six or fewer keywords and keep only the most relevant tags.
I am not sure what stage date to enter.
Enter dates only for stages reached. If the activity is currently Initiating, enter Envisioning (if known) and Initiating dates; leave Established and Mature blank.
