Deployed Military
We know questions may come up when you receive deployment notice.
Military students are encouraged to notify UND when they receive deployment orders that will possibly affect their coursework and enrollment. The following information is provided to assist students when deployment orders are received.
In 2002, the State Board of Higher Education approved Policy 510: "Rights of Students Called to Active Military Service". This policy is intended to enable campus officials and faculty to do what they can to minimize disruption to a student's educational program and financial impact that might otherwise result when a student is ordered to active duty, as well as to make it easier for these students to devote full attention to family matters and other concerns. SBHE policy 510 can be viewed in full online.
In addition, in 2023 the University of North Dakota implemented the UND Military Attendance Policy and the procedures.
We recommend students review these policies prior to connecting with their instructors.
Pre-Deployment
Notify Veteran & Military Services
Notify Veteran & Military Services via phone or email (701-777-3910 or vets@und.edu) to discuss the details of the below options when communicating with your instructors.
Please provide a redacted copy of your current orders or a letter from branch of service command to Veteran & Military Services.
Communicate With Instructors
Students should communicate with their instructors as soon as possible after learning of their upcoming absence due to a military obligation.
Based on discussion and determination between student and instructor, and after reviewing the UND Military Attendance Policy, one or more of the following options are available:
-
Full Withdrawal
If a full withdrawal is necessary, students need to complete the online withdrawal form found on the Registrar’s Office website found here.- Students withdrawing from UND due to military obligations are entitled to a full refund of tuition and fees subject to applicable laws or regulations governing federal or state financial aid programs and allocation or refund as required under those programs. Military obligation withdrawal reason must be noted on withdrawal form when submitting to receive the 100% refund.
- If completing a full withdrawal, students will not receive credit or a grade for classes they have withdrawn from.
- If a student is in good standing at the time of withdrawal, they have the right to
be re-admitted and re-enroll, without penalty or re-determination of admission eligibility.
- Students that choose this option should follow the Readmission guidelines through the Registrar's Office.
-
Partial Withdrawal
If it is determined to withdraw from some but not all courses, drops can be done in Campus Connection. Be aware that dropping may affect your financial aid and/or VA education benefits. Be sure to visit with One-Stop Student Services and Veteran & Military Services prior to dropping a course(s)to discuss.- If you withdraw from any of your classes and you are using Federal Tuition Assistance, please notify your State Education Officer.
-
Incomplete Grade
If student and instructor agree to the student receiving an incomplete grade in the course and determine if completion of course is attainable following deployment, an agreement is worked out between faculty and student to complete the work, then the professor resolves the incomplete grade upon completion. -
Complete course/Receive Grade
If, in the opinion of the instructor of the course, the student has completed sufficient work and demonstrated sufficient progress toward meeting course requirements to justify the award of credit and grade, the student may continue and complete the course for full credit and/or receive the final grade depending on time in the semester.- The option is generally not allowed for science labs, internships and other classes for which attendance or in-person participation is an essential part, but at the discretion of the faculty member, this option may be made available for those classes.
Students who do not determine one of the above options with the instructor their course(s) and leave the institution will not receive refunds of tuition and fees and risk receiving a grade of “F” in all courses. If you need assistance contact Veteran & Military Services.
Updating VA Benefits
Upon being notified by the student, Veteran & Military Services will submit a VA form 22-1999b, Change of Student Status, effective the date of your withdrawal or last date of school attendance. The VA will then stop your benefits effective that date.
Residence Hall Procedures
Refunds for student housing will be prorated, so students will only be charged for the actual number of days they are in housing. If a student will be returning to the residence halls or apartments, they may request to retain their priority for future assignment upon departing from housing.
The process is different depending on what type of on-campus housing a student is living in.
Family and Single Student Apartment Housing
- Your family may stay in their current housing through the end of the academic year.
- Extensions will be determined on a case-by-case basis.
- If you and your family will be leaving family housing, you must schedule a check-out appointment with the Housing & Residence Life Office (701.777.4251).
- For student residents wishing to retain their priority, we will keep their deposit on file. For those not returning to apartment housing, their deposits will be refunded. Please contact the Housing & Residence Life Office to complete this process.
Residence Halls
- If time permits, please schedule an appointment with the Associate Director of Housing (701.777.4251) to rescind your contract.
- Prior to leaving, you must check out of your residence hall room with a hall staff member.
- Students with refrigerator or linen contracts will have those amounts pro-rated for the actual number of days used. Refrigerators are to be returned to Complex Service Centers. Lofts may be returned to Collegiate Services (contact 701.777.1542). Students will receive a pro-rated refund from Collegiate Services.
Other Refunds
Admissions fee: This $35.00 fee is non-refundable; however, you will not be required to pay it again upon your return.
Parking: You may receive a pro-rated refund for parking fees and other optional fees. Contact Parking Services.
If Employed on Campus
The University will make every effort to see that you are returned to a comparable, if not the same position, if you're a student employee. If you're in a permanent position, whether full or part-time, you can come back to the same job if it is open or a comparable position.
